At Prospero, we've dedicated our work to strengthening performing arts organizations. From production calendars to digital signage to booking portals, we've always strived to build tools that elevate our industry. So when AI models emerged to revolutionize the way we work with technology, we knew we had to explore their potential.

In the two and a half years since we started Prospero, we've focused on building out the core of the platform: a robust, easy-to-use calendar of record with the features you need to manage your venue and productions. Meanwhile, we've been quietly experimenting with integrating AI models into the Prospero workflow. Not as a gimmick, but as a practical tool to enhance your productivity working on complex schedules.

Now, we're ready to introduce Prospero AI: the world's first production management-specialized AI model.

Here's how it works.

Seek, and thou shalt find

You'll find a new ✨ button in the top-right of every calendar layout. This opens the AI event editor, where you can describe an event you want to schedule in natural language:

"Tempest rehearsal tomorrow at 10am in Studio B"

Prospero AI will fill out the event editor for you, so all you have to do is double-check everything looks right.

For most events, this saves you a few seconds of data entry. For particularly complex events, perhaps a minute. Those seconds add up - experience has taught us that the majority of time you spend in Prospero is performing data entry. For the average user, we expect you'll save 30-60 minutes a week, depending on your workload.

Behind the Scenes

Prospero AI uses the relationships you've built between your resources to determine what should go on an event. For example, if you schedule a rehearsal, Prospero AI will tag the event with a "Rehearsal" tag if you have one.

That means the newly released Roles and Role Groups are particularly helpful in leveraging Prospero AI to its full potential. Creating role groups for scenes or musical numbers gives Prospero AI the context to automatically schedule the right people.

Additionally, Prospero AI continuously analyzes your events to make more accurate predictions over time. As you accumulate data in Prospero, patterns will emerge, and the model will develop an intuition for how you usually schedule. Accepting AI suggestions (especially if you make adjustments to the output) sends feedback to the model, improving your results.

What's Next for Prospero AI

We deliver improvements to Prospero continuously (almost every day), and Prospero AI is no exception. Here's a glimpse at what we're planning:

• Inline resource predictions as you build events. Prospero AI is currently a "one-shot" implementation, but we're aiming to bring AI predictions into the event editor as you type, creating a more seamless experience.
• Bulk event creation with Prospero AI, speeding you up further.
• AI-enabled reporting, designed to let you talk to Prospero AI about your data and get custom reports on your resources.
